Privacy Policy

Last updated July 30, 2026

This Privacy Policy (the “Policy”) describes how we collect and process personal data at virtual-loyalty.com (the “Website”), owned and operated by Virtual Loyalty (“Virtual Loyalty,” “we,” or “us”).

At Virtual Loyalty, we believe your privacy is important, and we take precautions to safeguard your data.

This Policy applies to your engagement and interactions with Virtual Loyalty through our Website, social media, email accounts, and any other platform we make available to interact with us (collectively, our “Properties”), and to any benefits, resources, content, and features made available through our Properties (collectively, the “Offerings”), from any device.

Please note that by accessing or using any of our Properties and Offerings — for example, by submitting our contact form — you agree to us processing your data according to this Policy.

What data we collect

We may collect the following categories of data:

  • Contact data: information such as your name and contact details (email, phone number, etc.), collected so we can communicate with you and provide our services to clients and potential clients. This may include contact details of individuals who work for or on behalf of a client in order to carry out that client’s engagement with Virtual Loyalty.
  • Services data: personal data provided to us by clients to the extent required to perform our virtual assistant services — for example, information contained in documents, schedules, correspondence, or accounts we are asked to manage as part of an engagement.
  • Marketing information: information collected to respond to inquiries about our services or to provide you with information or updates.
  • Website visitor information: when you visit the Website, we may collect information about your visit, such as your IP address and the pages you visited.
  • Technical information: information about the computer, device, hardware, or software you use to access our Properties, such as IP address, device identifiers, your internet service provider, and information about device operating systems and browsers.
  • General location: the general, non-specific location of your device, typically derived from your device’s IP address.

Data we collect when you contact us via our contact form

We collect and store the following contact data when you reach out through the contact form on the Website:

  • Your name
  • Your email address
  • Your phone number
  • Any information you include in your message

Our contact form is delivered and processed by a third-party customer relationship management platform that receives this information on our behalf. Contact data collected via the form is used to respond to your inquiries and to sustain follow-up communications if and as necessary.

Data we collect automatically when you use the Website

We may collect and store website visitor information when you access and use the Website, for measurement and marketing purposes (to better understand our audience) or to make certain features available to you. For example:

  • Actions you take, such as pages you visit and links you interact with
  • Your use of third-party services in connection with our Offerings
  • Content you share with us via email or any other channel of communication between you and Virtual Loyalty

Additionally, we may collect technical information such as URL information; online identifiers such as cookies and IP addresses; information about your device such as ISP, network and device performance, browser type, and operating system; and the general location of your device.

Internet activity data

The Website may use measurement products that allow us to make inferences about your needs and interests. Through such products, we may collect certain data and share it with our partners or vendors. Cookies, clickstream data, and similar technologies may be used in this process.

By using the Website, you consent to us processing data collected through measurement products, whether owned by us or provided by third parties. You can opt out of the processing of your data at any time — please read the “Your rights” section for more information on how to exercise your privacy rights.

What data may be shared

We do not sell your data to third parties. We may share your data with our partners and third parties as required to provide our Offerings.

We may share contact data, technical data, and website visitor data with service providers, including the platform that processes our contact form, those we engage to help secure and protect our Properties, and those that help us measure our Properties’ performance.

How we collect data

We collect contact information from you when you fill out any web form on the Website, such as our contact form. We use cookies and similar technologies to collect website visitor information and technical information when you use the Website. Additionally, we collect information directly from you through communications you hold with us, such as email, phone, chat, and social media.

Data we retain

We retain your data only for the time required within the scope of the purpose for which it was collected.

We may retain certain data for limited purposes — for example, if we are subject to legal or contractual requirements, or for compliance with applicable laws and regulations. We might also retain limited data where relevant to protect the security of our team and infrastructure, including our Properties.

Additionally, we might retain your contact information for a limited time for marketing purposes, to offer you services, promotions, or content we consider relevant to you. You can opt out of any such communications at any time as described below.

Your rights

For clarification about how we process your information, to exercise your privacy rights, or if you feel our practices violate any of your privacy rights, please contact us. Privacy laws grant you certain rights over your personal information; certain rights may only be applicable to residents of specific states.

Right to know

You have the right to be informed about how we collect and process information about you. We keep you informed through information published on the Website, including this Policy. We may take additional measures to inform you of any changes to the Policy.

Right to data portability

You have the right to access the information we process about you. To request a copy of your personal data, or to inquire about how we process your data, please get in touch with us.

Right to delete

You have the right to request that we delete some of your personal data — for example, data we no longer need for the purpose it was originally collected for, or data processed on the basis of consent that you have since withdrawn.

There are some cases in which we are unable to delete your personal data, including but not limited to the following:

  • It is still necessary to retain your data for the purpose it was originally collected for.
  • Our legitimate interest supersedes the deletion request, such as protecting our Properties from wrongdoers, as permitted by law.
  • We are required to retain your data by law.
  • We need your data to formulate, exercise, or defend legal claims.

Right to correct your data

You have the right to correct inaccuracies in the personal information we collect from you, taking into account the nature of the personal information and the purpose for which we process it.

Right to non-discrimination

Virtual Loyalty does not and will not discriminate against you because you exercised any privacy rights under applicable state laws.

Right to opt out

You have the right to opt out of the processing of your data. If you wish to do so, please contact us. Alternatively, we offer the following opt-out mechanisms for specific communication channels. If you continue to receive our messages after opting out, please get in touch with us and report the issue.

Opt out of SMS communications

In compliance with the Telephone Consumer Protection Act (TCPA), you can opt out of receiving further SMS communications by replying “STOP.”

Opt out of email marketing communications

In compliance with the CAN-SPAM Act, our marketing emails contain an unsubscribe link. You can opt out of receiving further marketing communications via email by clicking on it.

How we protect your data

At Virtual Loyalty, we are committed to protecting your data and privacy. We have taken technical and organizational measures to safeguard your data, including access and retention practices. However, no system is completely secure.

To protect your data as you use the Website, we recommend you verify that your connection to the Website is secure (look for the padlock indicator in your browser’s address bar).

How to contact us

If you have any questions or concerns regarding this Policy, or wish to exercise any of your privacy rights, you can:

  • Reach out through the contact form on our Website.
  • Call us at 719-747-6289.

Virtual Loyalty will make every effort to respond to your request within forty-five (45) business days from when you contact us, or up to ninety (90) business days in the case of complex requests, as required by state privacy laws.

Unless otherwise permitted by state law, only you may make a verifiable request related to your personal information. After submitting a request, we will take steps to verify your identity in order to properly respond and confirm that the request is not fraudulent. At a minimum, we will ask that you provide your name and email address so we can match this information with the information in our systems; we may require additional information, which will be used solely to verify your identity and process your request.

Virtual Loyalty may decline to take action on specific requests as described in the “Your rights” section above. If we decline to take action on a request you have submitted, we will inform you of our reason for declining and provide instructions for how to appeal the decision. If the appeal is denied, we will also provide you with a method through which you may contact your state attorney general’s office to submit a complaint.

Changes to this Policy

We may make changes to this Policy occasionally. If that happens, we will make reasonable efforts to create awareness of these changes among our users — for example, by posting a notice on the Website indicating that changes have taken place and when they are effective.
